Prepare Your Canton Fair Invitation

As foreign traders, the most essential step of your preparation of fair is to tell all your customers that you will attend the Canton Fair. Whether they will show up or not, it already indicates your strengths. So how to invite your customers to attend the fair and how to write the invitation letter? Although I am late to tell you these tips, I will show my fullest sincerity to let you know, please read on:
5 simple steps to invite customers:
Inform the customers before first half of month and sending emails to them every two days (inform them the specific location of your booth); making phone call to some important customers and asking them whether they will come or not.
Ask them whether they have decided on a date to attend the fair or not or if they need you to arrange their agenda.
Using phone, email and message to contact your customers a week before the fair and tell them the location of your booth and try to get their Chinese number and confirm the specific date of their coming.
In the fair, if customers do not come on the date as appointed, you can make a phone call and try your best to invite them to your booth.
2 kinds of situations when inviting customers to fair:
1.Having a booth:
Send emails to invite your customers a month before the fair and introduce your new products and what customers are interested  in; sometimes you can call them to talk and show your care to them because it will be more practical.
If your customers decide to come to the fair, you should come to agreement on the date and prepare the relevant documents in advance, including product's price that customers have mentioned, performance and characteristic and so on, collect the feedback of products that customers use and learn about customers' new demand on products. Prepare well to handle what customers will complain and answer customers' problems and suggestions.
You should remember to arrange reception by hand in fair, ask customers' suggestions on products or service, listen to their suggestions on some improvement of market, learn more and find out the new needs of cooperation, introduce your new products and service. When our regular customers ask us some questions, we should give an answer immediately, if not, you should promise them that you would answer them in a certain amount of time. You should be sure to present them a special gift for their visiting.
2.No booth:
When a factory is without a booth, it still should make efforts to ask customers a month before the fair whether they will come or not and if they need help, then you should inform them your office and factory's location, asking them when they will come for their convenience. You can also use company's new products, sales products or what customers are interested to draw their attention. Besides, you should keep contact with customers and do well in guiding.
Some notes of writing invite letter
1.Sending object: customers that have placed order and those who have kept contacting with you or made inquiry of some relevant products from you.
2.Do not follow the same pattern, it seems lack of sincerity and attraction when you copy some excellent articles on the Internet. You must particularly write some sincere words to extend your greetings to them and mention some details of your previous conversation to impress your customers.
3.Please attach the traffic route and exhibition hall's plan in the email; although your customers are very familiar with the location of the hall, but it will looks very nice of you to do that. For example, “in order to avoid the traffic jam and save your personal time, I recommend you to park your car in the hotel and take subway to come to the hall and get off on** station”, meanwhile you can attach the subway map.
4.Be particular about the invited time; because you may not only have one buyer in one place, in order to avoid causing embarrassment, you should stagger their visit time.
5.Informing them the weather: as customers come from home and abroad,they don't know the local exhibition well, and it will be very nice of you to tell them the weather here.
